Your First Appointment: What to Expect

Initial consultations are scheduled to take longer than follow-up appointments but might vary depending on complexity of the presenting complaint.

When you arrive at our clinic, our welcoming reception team will be ready to assist you. If this is your first visit, you will need to complete a few brief forms, so we recommend arriving around 10 minutes early to allow time for this. Alternatively, you can download our Patient Registration Documents and email it to us ahead of time if you prefer.

What should I bring to my initial appointment?

To ensure we have all necessary information, please bring the following documents with you:

  • A referral letter from your doctor (they may also have sent this to us directly via email or fax)

  • Your private health insurance details

  • If applicable, WorkCover (WCA) or TAC claim number and details

  • Medicare card and/or DVA card

  • Copies of recent imaging (e.g. X-rays, Ultrasound, CT or MRI scan), and any related radiology reports

  • Relevant blood test results or letters from your GP or specialist

Yes, a referral letter is required in order to schedule an appointment. This typically comes from your GP, another specialist, or an emergency department physician. If your referring doctor has already sent the referral to us via fax or email, that’s not a problem — just let our reception team know if you don’t have a physical copy with you.

How quickly will I be seen?

If you have an acute injury, A/Prof Ernstbrunner will prioritise your care and aim to see you urgently. For non-urgent concerns, we generally aim to offer appointments within two weeks of receiving a referral.

What if I do not have my imaging?

In most cases, A/Prof Ernstbrunner can access your imaging through electronic systems. However, it is helpful if you can provide any imaging reports or details to assist in locating your scans quickly. If you have printed X-rays or hard copies, please bring them along to your appointment.

What happens if I need to have surgery?

During your consultation, A/Prof Ernstbrunner will explain the recommended procedure in detail, including potential benefits, risks, and alternatives — both surgical and non-surgical. This will form the informed consent process.

After the consultation, you’ll meet with the ROM practice manager to go over the logistics of your surgery, including scheduling, hospital options, expected costs and any out-of-pocket expenses. Depending on your medical history, you may also need to see an anaesthetist or physician before surgery.

Does A/Prof Ernstbrunner charge a gap fee?

A/Prof Ernstbrunner adheres to the Australian Medical Association’s recommended fee structure for surgical procedures. Depending on your private health insurance cover and the complexity of the procedure, there may be a “gap” fee charged. A detailed fee estimate will be provided before proceeding with surgery.

Do you see uninsured patients?

Yes, A/Prof Ernstbrunner welcomes uninsured patients through his private practice at ROM, and can also provide care through his public appointments at Box Hill Hospital and the Royal Melbourne Hospital. If you are considering private surgery, we will provide a quote before any procedure is scheduled.

Do you see TAC and WorkCover patients?

Yes, patients with approved Transport Accident Commission (TAC) or WorkCover claims are welcome. Please ensure you bring your claim number and details to the appointment to help us process your case and minimise any out-of-pocket expenses.
